Meetings are mandatory if you run a business no matter if you are one person or more than 20 person operations. You need to discuss about the progress or any improvements or to identify the grey area etc. When you discuss some nice ideas with others, you will learn various perspectives of that idea. It will give you more knowledge to analyze and to take a proper decision. Hence, business meetings are mandatory in an organization. It will give you more fruits only if you have pre planned about the theme and the points you need to discuss on the meeting. The purpose of the meeting has to be justified. This should be useful for all the participants.

Here are the few points that will give the sequential order of things that you need to remember before conducting a meeting:

1. Meetings have to be conducted only if there is real needs. Some unnecessary usual meetings can be avoided in order to save the billable hours. Meeting should be productive and encourage all the participants.

2. Prepare the list of things that you are going to discuss in the meeting. On top of everything, you need to collect the necessary data representation. Do not bring more examples and explain the same thing more than once. This would make the attendees frustrated and they would feel like you are wasting their time.

3. Provide a picturesque agenda to the attendees even before the meeting starts. This would help them to be prepared for the meeting. If they aware of the topics that you are going to cover, they can put across their thoughts. The meeting will be more interactive.

4. You should not get deviated from the topic. You should focus on the topic always. Or else, your attendees will get bored and they will start their own story and chats with their co workers. It is your responsibility to prepare the agenda in an effective manner and take the meeting according to the topics mentioned in the agenda. Over all, you should keep hold of their complete attention by your effective ways of speaking and the body language is also significant. You must be enthusiastic in order to make others enthusiastic.

5. Exclusive meeting are often necessary but still you have to conduct meeting with all the level employees in your organization. It may happen occasionally but make sure that you are getting in touch with the entire employee in your own organization. Most of the time, the best ideas comes from the entry level as they are much closed to the operation. They know the nitty-gritty of the work.

6. The start and end time should be the same as you have promised. Try to be efficient and finish it off with in the said time period. This would be more productive than conducting whole day meetings with unnecessary questions. Convey your points in a short and sweet manner.

7. Meeting is not a classroom theory that you can leave after your professor explained. Practical implementation is highly required. Once you complete the meeting, the minutes of meeting have to be emailed to all who have attend the meeting. You have to follow up with them on the action items.

8. Ask for the feedback from the attendees of the meeting. You can circulate the feedback form mainly with the below questions.

a. Was the meeting is useful?

b. Is it taken to long time?

c. Did any person dominate the meeting?

d. Which terms are unclear?

e. Over all feedback on the ideas discussed:

Conducting meetings are actually increases the unity among the workers and the management. It gives an opportunity to understand the improvements and the drawbacks. When management discusses this closely with the employees, it will create a personal touch in employees. They will come up with more new suggestions and ideas to improve the quality.
